Self-service queues customers understand and trust

Customer Queue & Token Management gives walk-in venues self-service check-in, live position tracking, estimated wait times, priority triage, and public display screens — so customers stop guessing and staff stop managing lines by hand.

The problem

Customers waiting in line cannot see their position or estimate how long they will wait, so frustration builds and many simply leave. Staff juggle walk-ins, priority cases like elderly or emergency visitors, and multiple departments verbally, with no data on peak hours or bottlenecks to plan staffing.

The solution

Customer Queue & Token Management gives every visitor a self-service token with a live queue position and estimated wait time, lets staff triage and call the next customer with one click, and shows the current state on public display screens — while a KPI dashboard tracks issued tokens, average wait and completion rate by department.

Capabilities

Everything a walk-in queue needs

Every capability below is implemented in the module.

01

Self-Service Check-In

Customers issue their own token from a QR-friendly web form, or staff enter walk-ins and priority overrides manually — no dedicated KIOSK hardware required.

02

Per-Department Token Numbering

Each department gets its own prefixed, zero-padded token sequence, so shared displays stay clear about which line a number belongs to.

03

Full Token Lifecycle

Every token moves through waiting, called, in progress and completed, with hold, no-show, cancel and reissue for the exceptions competitors ignore.

04

Priority & Triage Tagging

Tag Emergency, Elderly, VIP or Appointment cases and the queue automatically re-sorts, with a one-click Call-Next for the front of the line.

05

Live Position & Wait-Time Estimate

Waiting customers see their exact position and an estimated wait time on their own screen, answering “am I next?” without a trip to the counter.

06

Public Display Screens

A single unified board or a screen per department shows the now-serving token and waiting count, auto-refreshing for every customer to read.

07

KPI Dashboard & Analytics

Pivot and graph views report tickets issued, customers served, average wait and completion rate by department — the analytics budget apps omit.

08

Turn-Approaching Email Notifications

An email alerts customers as their turn approaches, so they can step away instead of watching the display the whole time.

09

Printable Token Slips

An optional printable slip gives customers who want a physical receipt their token number and department, without mandating thermal-badge hardware.

Workflow

How it works

1

Check in

A customer scans a QR code for self-service web check-in, or a staff member issues a token manually, choosing the department and any priority tag.

2

Track the wait

The customer's own status page and the public display screens show a live queue position and an estimated wait time, so nobody has to hover at the counter.

3

Call and serve

Staff call the next customer from the department dashboard and move each token through waiting, called, in progress and completed — with hold, no-show, cancel and reissue for exceptions.

4

Review and improve

An email notification alerts customers as their turn approaches, a printable slip is available at the counter, and the KPI dashboard reports issued tickets, average wait and completion rate.
