Keep pricing authority in the right hands
Restrict who can edit unit prices on quotations and sales orders, with role templates, emergency overrides, a request-approval workflow, and a full audit trail — so front-line reps stay productive without ever touching your margin.
The problem
Anyone who can build a quotation can usually edit its price too. A rushed discount, a well-meant customer favor, or a simple data-entry slip can quietly erode margin — and by the time a manager notices in a report, the deal is already closed. Locking down the whole Sales app just to stop this is too blunt; it blocks the legitimate order-entry work reps need to do every day.
The solution
Sales Price Lock keeps unit-price editing in the hands you choose — by security group, by individual user, or both — while everyone else builds quotations normally. Restricted reps see a clear read-only price with an explanation, can request a change in-app, and every blocked attempt, override, and approval is captured in a permanent audit log.
Everything you need to control pricing
Every capability below is implemented in the module.
Lock unit prices on quotations and orders
Restricted users cannot change the unit price on sale order lines — on drafts and, if you choose, after confirmation too.
Group-based and per-user control
Manage pricing authority with a security group for broad control, or flip individual users to always-authorised or always-restricted — use either model or both together.
Role templates for one-click onboarding
Predefine roles like Junior Salesperson or Account Manager and apply the right restriction level to a whole team in a single action.
Bulk assignment, including login paste
Select many users at once or paste a list of logins or emails to apply a role or override in bulk — no more one-at-a-time toggling.
Request-a-price-change workflow
A restricted rep can submit a price-change request straight from the order; an authorised approver reviews and approves or refuses it, with chatter and activities tracking every step.
Emergency per-order override
Grant a one-time override on a single order when a restricted user genuinely needs to adjust a price — then revoke it the moment the exception is over.
Full audit log of every attempt
Every blocked attempt, override, approval, and authorised change is recorded with the user, timestamp, product, and before and after price — nothing happens off the record.
Restricted-users dashboard
See at a glance which users are currently restricted, grouped by role, so the control stays visible and easy to audit.
Guided setup wizard
A first-run wizard walks you through choosing a control model, assigning editors and restricted users, and turning on the request workflow — configured in minutes.
How it works
Configure once
Run the guided setup wizard to pick your control model, assign pricing authority, and enable the request workflow.
Reps quote as usual
Restricted users build quotations normally; the unit price field is clearly read-only with an explanation when it is locked.
Request or override when needed
A rep requests a price change in-app, or a manager grants a one-time override — every path is logged automatically.
Review the audit trail
Managers check the audit log and restricted-users dashboard anytime to confirm pricing discipline is holding.
Frequently asked
No sales fog. If your question isn't here, email us and we'll answer it the same way.
Yes, by default. A setting lets you choose whether restricted users stay locked out after confirmation or regain edit access once the order is confirmed.
