The problem
When a company buys a machine, laptop, forklift, or HVAC unit through a purchase order, someone still has to re-type that item into the Maintenance module by hand — description, vendor, cost, category. That manual step is slow, frequently skipped, and leaves the maintenance team with an equipment registry that never matches what the company actually owns.
The solution
Mark a product as equipment, choose per-category whether one purchase line should become one record or one per unit, and confirming the purchase order does the rest. Equipment arrives pre-filled with vendor, cost, and purchase date, with a smart button back to the order it came from — no re-typing, no duplicates, no silent drift.

Per-product equipment flag
A "Track as Equipment" toggle and an Equipment Category field on the product form mark exactly which products should generate equipment, so ordinary consumables and supplies are left untouched.
Automatic creation on confirmation
Confirming (or approving, under double validation) a purchase order creates the matching equipment records the instant the order becomes real — no separate step for procurement to remember.
Per-category creation mode, explained
Each equipment category chooses "one per unit" or "one per order line," with plain-language help shown right where you configure it — so ten laptops become ten tracked assets while one HVAC line stays a single record, with no guesswork.
Pre-filled equipment records
New equipment arrives with vendor, product, purchase date, cost, and category already set from the purchase order line, so nobody has to retype what Odoo already knows.
Bidirectional traceability
A smart button on the purchase order jumps to its generated equipment; a smart button on the equipment record jumps straight back to the source order and vendor. Procurement and maintenance stay in sync in both directions.
Duplicate-safe by design
Re-confirming, re-approving, or otherwise re-processing the same purchase order never creates a second set of equipment for a line that already has records — the registry stays accurate without manual cleanup.
A dedicated Purchased Equipment view
A kanban and list view scoped to purchase-generated equipment, with a "From Purchase Order" filter and group-by-vendor, gives maintenance teams one place to browse everything the company just bought.
One-action bulk flagging
Select any number of products in the catalog and mark — or unmark — them all as equipment from the Actions menu in one click, instead of opening every product individually.
Works with your existing setup
Built directly on the standard Purchase and Maintenance apps — no new models, no extra security groups to manage, and equipment creation works even for purchasing users who do not hold maintenance-manager rights.
How it works
Flag equipment products
Turn on "Track as Equipment" and pick an equipment category on the product — one at a time, or in bulk from the product list.
Set the category's creation mode
On the equipment category, choose "one per unit" or "one per order line" — guidance is right there in the field's help text.
Confirm the purchase order
Buy as normal. The moment the order is confirmed (or approved), the matching equipment records appear automatically.
Track and trace
Browse new equipment from the smart button on the order, or jump back from any equipment record to its purchase order and vendor.
