Close Every Forgotten Check-Out, Automatically — With Proof
Attendance Auto Checkout closes open hr.attendance records on your own schedule, then backs every auto-closed entry with an audit flag, a manager notification, and department-level analytics — so payroll never has to guess who forgot to clock out.
The problem
Employees who forget to clock out leave attendance records open indefinitely, inflating worked hours into impossible totals that corrupt payroll, overtime, and compliance reporting. HR ends up manually hunting down and correcting these records one by one — a chore that only gets worse as headcount grows.
The solution
Attendance Auto Checkout replaces that manual cleanup with a fully configurable engine: choose an hours-based, schedule-based, or fixed-time checkout rule, cap every shift at a maximum-hours ceiling, and let the system close, flag, and report on open records automatically — while you stay in full control from the Settings screen.
Everything HR needs to trust auto-checkout
Every capability below is implemented in the module.
Three Checkout Rules, Your Choice
Close open attendances after a set number of hours, at each employee's scheduled shift end, or at a fixed time of day — pick the rule that matches how your teams actually work.
Maximum-Hours Ceiling
A hard cap on worked hours per shift stops any record from accruing an impossible 19-hour or multi-day total, protecting payroll and overtime calculations.
Grace Buffer & Tolerance
A configurable buffer delays checkout past the trigger time, so legitimate schedule variance never gets closed out prematurely.
Void-to-Check-In Option
Prefer to zero out an incomplete shift instead of estimating its end? Set the checkout timestamp to match check-in with a single toggle.
Stale & Multi-Day Cleanup
Records left open overnight, over a weekend, or across prior shifts are always closed — the overnight edge case most interval-only apps miss entirely.
Full Audit Trail
Every auto-closed record carries a visible flag and a specific reason — interval, schedule, fixed time, max hours, or stale — so payroll can always tell system action from manual entry.
Manager Summary Notifications
After every run, managers receive a readable summary of exactly which employees and records were auto-closed — no silent background job, no surprises.
Chronic-Offender & Department Analytics
A dedicated analytics report rolls up auto-closed and over-threshold records by employee and department, so HR can fix the root cause, not just the record.
Per-Employee Opt-Out
Exclude on-call staff or genuine long shifts from the engine with a single toggle on the employee form, without disabling auto-checkout company-wide.
How it works
Configure Your Rule
Set your checkout mode, thresholds, buffer, and notification preferences once from Settings > Attendances.
The Engine Runs on Schedule
A recurring scheduled action scans for open attendances and applies your configured rule to each one.
Records Close With Proof
Each closed record is stamped with an auto-checkout flag, a specific reason, and any threshold-breach warning.
Review & Report
Managers get a summary email; HR reviews chronic offenders and department trends in the built-in analytics report.
Frequently asked
No sales fog. If your question isn't here, email us and we'll answer it the same way.
It runs alongside it with its own configuration and cron, so the two never conflict. We recommend leaving the native auto_check_out feature off and using this module's dual-mode engine instead, since it adds the audit flag, notifications, and analytics the native feature does not.
