Know if this job actually made money
One Job Costing Sheet per project captures budget, pulls actual cost automatically from timesheets, purchase orders and vendor bills, and renders an interactive budget-vs-actual P&L — so overruns surface while there is still time to act.
The problem
Contractors know the business made money last quarter, but not whether a specific job did. Cost data sits scattered across purchase orders, vendor bills, and timesheets, so project managers discover overruns only after a job closes — when the margin is already gone. Existing apps split the problem: one produces a P&L from a cost sheet that is assumed accurate, another captures actual cost but stops short of profitability reporting, forcing teams to stitch two products together every month.
The solution
Job Costing P&L is one product for the whole spend-to-margin loop. Each job gets a Job Costing Sheet holding a budget by cost category; a single sync pulls real cost from timesheets, purchase orders and vendor bills; and the same sheet renders budget vs actual vs variance with drill-down, threshold alerts, a portfolio dashboard and a progress-billing wizard — no second app, no manual reconciliation.
Everything to track a job from budget to margin
Every capability below is implemented in the module.
Per-Job P&L
Every job gets its own profit-and-loss view: revenue against real incurred cost, with margin and margin percent computed live as transactions post.
Automatic Actual-Cost Capture
One sync pulls cost lines from timesheets, purchase orders and vendor bills into the job sheet, deduplicated automatically — no manual re-entry.
Budget vs Actual by Category
Labor, materials, subcontractor, equipment, overhead and other cost lines each show planned amount, actual amount, and variance side by side.
Cost-Category Drill-Down
Open the Actual Costs page on any job to see every underlying transaction — date, description, category, vendor or employee, and source document.
Cost Variance Alerts
Set a per-job alert threshold; the moment a cost category's actual spend crosses it, the responsible manager gets a scheduled activity and a chatter note.
Single Job Selector
Assign a Job Sheet and cost category directly on timesheet lines and purchase orders — one selector instead of tagging a cost center separately on every document type.
Portfolio Dashboard
A kanban dashboard rolls every open job into one view with a completion progress bar, margin, and a red badge on any job running over budget.
Progress Billing
Generate a draft customer invoice straight from the job sheet, billed on incurred cost to date or a percentage of the contract value.
PDF P&L Report
Print a job's budget-vs-actual table and P&L summary as a PDF straight from the job sheet, ready to share with clients or lenders.
How it works
Set up the job
Create a Job Costing Sheet on the project, enter the contract value, and set a budget per cost category.
Work as usual
Log timesheets and post purchase orders and vendor bills against the job — one selector tags them all.
Sync and watch the P&L
Click Sync Actuals to pull the latest cost; budget vs actual vs margin update automatically, and alerts fire on overruns.
Bill and close
Generate a progress invoice from incurred cost, then close the job once the final P&L is confirmed.
Frequently asked
No sales fog. If your question isn't here, email us and we'll answer it the same way.
Timesheets, purchase orders and vendor bills all post as analytic lines against the job's project. Clicking Sync Actuals (or the daily scheduled sync) pulls those lines into the job sheet as actual cost lines, matched to a cost category, with a dedup check so nothing is imported twice.
