Stop the silent failures your library desk can’t afford.

Serials check-in, interlibrary loans and local studies/archive requests in one unified desk — with deadline alerts before claim windows, return dates and closure periods expire, and enforced rules at the point of handoff.

The problem

Serial issues miss publisher claim windows unnoticed, interlibrary loan declarations and return dates slip through email threads, and restricted archive material risks being handed over before a closure period or access decision has been checked. Spreadsheets and generic note fields record the risk after the fact — they never stop it.

The solution

Library Serials, Interlibrary Loans & Local Studies tracks all three workflows from one unified desk, surfaces claim, return and closure deadlines before they close with live traffic-light alerts, and blocks a restricted handoff or an undeclared ILL release until a Library Manager explicitly overrides it with a logged reason.

Capabilities

Everything a library operations desk needs

Every capability below is implemented in the module.

01

Unified library operations desk

Serials check-in, interlibrary loans and local studies/archive requests run in one module instead of three separate purchases, sharing the same auto-sequenced references, Draft to Confirmed to Done workflow and chatter.

02

Claim-window deadline alerts

Every serial check-in computes its claim deadline from the title’s claim window and flags it as on track, approaching or overdue with color-coded list decorations and in-form alert banners before the window closes.

03

Bulk claim submission

Select any number of overdue serial issues from the list and submit claims to the publisher in one action, with claim count and last claim date tracked automatically on each issue.

04

Chronic lateness & claim success tracking

Each serial title automatically flags itself as chronically late once three or more of its issues have been claimed, and tracks a claim success rate from how many claimed issues were eventually received.

05

Interlibrary loan return tracking & batch renewal

ILL requests track the supplier’s return date with a live days-to-return countdown, flag overdue loans, and support batch renewal of multiple loans at once by extending each return date by its configured renewal period.

06

Copyright declaration enforcement at handoff

Releasing an interlibrary loan copy to a reader is blocked until a copyright declaration has been recorded and its supporting document attached — a Library Officer cannot bypass it, only a Library Manager can override with a logged reason.

07

Closure-period & access-decision enforcement

Archive requests record an ISAD(G) description level and an open, restricted or closed access decision; issuing a closed or still-embargoed item to a reader is blocked for Library Officers and requires a logged Library Manager override.

08

Traffic-light access status

Every archive request shows a red, amber or green access status at a glance on both the kanban board and the list view, so desk staff can see instantly whether an item may be handed over.

09

Retrieval SLA & supplier performance reporting

Archive retrieval time is measured against a configurable SLA and flagged when breached, while interlibrary loan fulfillment days and cost are available in pivot and graph views broken down by supplying library.

Workflow

How it works

1

Log the request

Create a serial check-in, ILL request or archive request with its reference, title/collection details and key dates — each gets an auto-sequenced number.

2

Track the deadline

Claim windows, supplier return dates and closure periods are tracked automatically with color-coded alerts as each one approaches.

3

Enforce at handoff

Releasing a restricted archive item or an undeclared ILL copy is blocked for Officers and requires a logged Manager override.

4

Review & report

Use calendar, pivot and graph views to see claims history, supplier performance and SLA compliance across the department.

No. This module is a workflow layer for serials check-in, interlibrary loans and archive access requests — it is not a cataloguing or circulation replacement, and it depends only on Odoo’s base and mail apps.
