Every donated item, tracked and accounted end to end.

Replace a chain of fragmented donation, budget and transit add-ons with one Odoo application built for NGOs: need-first requisitions, in-kind donations checked against grant budgets, multi-hop shipment tracking, and donor-to-beneficiary accountability.

The problem

NGOs run a supply chain Odoo's standard sales and purchase flows were never built for: goods arrive as in-kind donations instead of purchases, a need must be raised before a source is even known, and every movement has to be proven against donor restrictions, grant budgets and multiple currencies. Today's answer is a chain of 14 fragmented, zero-download add-ons for donations, budget, transit and currency that silently break when one updates without its partner, with budget checks that only fire after confirmation -- leaving staff to reconcile donations, budgets and shipments by hand.

The solution

One self-contained application models the full humanitarian flow: requisitions that express need before sourcing, four sourcing modes with explicit donor-stock feedback, in-kind donations checked against grant budgets before confirmation (with an auditable override for emergencies), multi-hop shipments visualized leg by leg, and beneficiary receipts that close the loop back to the donor. Multi-currency amounts use the historical rate at each document's date and flag it when stale.

Capabilities

Built for humanitarian logistics

Every capability below is implemented in the module.

01

Need-first requisitions

Raise a requisition with quantities before a source is known, then source it by warehouse dispatch, tender, existing bid or framework agreement -- all four modes on one record.

02

Donor stock dispatch with clear feedback

Look up donor-owned stock by owner at requisition time and see explicitly whether matching stock was found and how much, or which sourcing path was used when it was not.

03

In-kind donations against grant budgets

Record donations as their own document type, linked to a grant, with live budget remaining, allocation and depletion alerts shown while the donation is still being prepared.

04

Auditable budget override

Let a Logistics Manager push an over-budget donation through a dedicated override wizard for emergencies, with the justification recorded on the record for audit.

05

Leg-by-leg shipment tracking

Move consignments through donor, transit and customer legs with expected handoff dates, delivery progress, and a decoration that flags any leg running late.

06

Grant budget rollups

Every grant shows allocated, committed, spent and remaining amounts with a progress bar, state tracking, and one-click links to every requisition and donation drawing on it.

07

Multi-currency with stale-rate flagging

Requisitions and donations show both their own currency and the company currency, converted at the historical rate for the document date, with a flag when that rate is out of date.

08

Donor agreements and documentation

Keep MOUs, tax receipts and donor restrictions on file per agreement, with active and expired states, so every in-kind gift has its paper trail attached.

09

Beneficiary receipts and donor impact

Confirm beneficiary receipts against delivered shipments to prove, document by document, exactly where every donated item ended up.

Workflow

How it works

1

Raise a requisition

Express a need with quantities and choose a sourcing mode -- warehouse dispatch, tender, existing bid or framework agreement.

2

Source or donate

Confirm the sourcing path, or record an in-kind donation against the right grant with budget remaining checked before confirmation.

3

Ship leg by leg

Move the consignment through donor, transit and customer legs with expected handoff dates and a late-leg warning if it slips.

4

Confirm receipt

Record the beneficiary receipt to close the loop, giving donors and auditors documented proof of where every item went.

Questions

Frequently asked

No sales fog. If your question isn't here, email us and we'll answer it the same way.

No. It is a separate, self-contained application for humanitarian logistics with its own requisition, donation and shipment documents -- it does not modify Sales, Purchase or your existing Inventory workflows.
