The problem
When an employee resigns, HR must coordinate manager sign-off, IT/Finance/Facilities clearances, asset returns, knowledge handover, a final settlement and an exit interview — all under time pressure. Native Odoo HR has no governed workflow for any of this, so teams improvise with spreadsheets and email threads. The result: dropped clearances, laptops and system access left active after departure, inconsistent notice-period handling, and no defensible record of who approved what and when.

Multi-gate approval, no self-approval
Manager, Finance and HR sign off in sequence on a configurable approval path. The departing employee can never approve their own resignation at any stage.
Clearance-completion gate
A record cannot move to Offboarded until every required clearance item is complete. Progress shows as a live percentage and progress bar on the list, kanban and form.
Auto-dispatched clearance checklists
On approval, clearance tasks route automatically to IT, Finance, Facilities and the line manager from reusable templates scoped by department and job, with bulk completion for high-volume teams.
Asset recovery & deduction linkage
Track hardware and software return per employee. Unreturned items flow straight into the final settlement as a deduction, closing a gap most competitors leave open.
Knowledge handover tracking
Assign handover tasks to named colleagues and track completion against the departing employee's record, so work does not leave the company with them.
Final settlement statement
A standalone settlement broken down by earnings, deductions and net amount, with an explicit validation step before offboarding can complete.
Exit interviews, scheduled and delivered
Send an exit survey and schedule the exit interview as a calendar meeting directly from the record, with responses captured against it for reporting.
Notice-period automation
The last working day is calculated automatically from the notice period, recalculates on override, and an explicit immediate-relieving option bypasses notice for urgent exits.
Live offboarding dashboard & self-withdrawal
A kanban board groups every in-flight resignation by stage with clearance progress visible at a glance; employees can withdraw their own request without waiting on HR.

Settle and offboard
The final settlement is validated and the exit interview held, then the account is deactivated and the employee archived.
