Peer review that stays organized from submission to decision

Run paper submission, TPC-driven reviewer assignment, scored rubric review, and session scheduling for your academic conference — natively inside Odoo, with no external peer-review platform to buy or integrate.

The problem

Conference papers, reviewer invitations, and scores get tracked by email and spreadsheets, so papers fall through the cracks, invitations go unanswered, and conflicting scores get reconciled by hand. The chair has no single place to see where every submission stands — especially in the weeks before a deadline, when volume spikes and mistakes get expensive.

The solution

Conference Management runs the whole peer-review lifecycle inside Odoo: authors submit with co-authors, the TPC assigns reviewers in bulk, reviewers score against a weighted rubric, and the chair sees every reviewer's score side by side before recording a decision and scheduling the paper into a session.

Capabilities

Everything a program chair needs

Every capability below is implemented in the module.

01

Paper Submission with Co-Authors

Authors submit a title, abstract, keywords, and manuscript, naming any number of co-authors from your contacts. A deadline-aware Submit button enforces the conference's submission cutoff automatically, and an automatic confirmation email goes out the moment a paper is submitted.

02

Multi-Role Access Control

Author, Reviewer, TPC Member, and Chair are stacked groups where each role implies the one below it, so a chair who also reviews keeps every permission without juggling logins, and a reviewer can never read another reviewer's confidential comments.

03

Bulk Reviewer Assignment

The TPC assigns many papers to many reviewers from the conference's reviewer pool in a single wizard run, with a skip-existing option so re-running the wizard never double-assigns a paper that already has a reviewer.

04

Accept, Decline, and Track

Every assignment carries an invited, accepted, declined, or submitted status with timestamps, so the chair always knows exactly which reviews are outstanding and which reviewers have agreed to the work.

05

Weighted Rubric Scoring

Each conference defines its own rubric criteria with a weight and a maximum score; reviewers score every criterion and the module computes a weighted overall score for each review automatically.

06

Consensus & Score Aggregation

A paper's average score and score spread across all submitted reviews are computed and stored automatically, and the paper form shows every reviewer's score and recommendation side by side so the chair can reach a decision at a glance.

07

Revision & Resubmission

The chair can send a paper back for revision instead of a final decision; resubmitting bumps the paper's version number and carries it back through the same review pipeline, with full tracking of every round.

08

Deadline Enforcement & Reminders

Submission and review deadlines are set per conference and enforced on the Submit button; a daily scheduled action automatically reminds reviewers whose reviews are outstanding as the review deadline approaches.

09

Session Scheduling & Reporting

Accepted papers are organized into sessions with a room, start and end time, and a session chair, connecting the review outcome directly to the event agenda, and a Submissions Summary report prints every paper's status in a conference.

Workflow

How it works

1

Set Up the Conference

The chair creates the conference, sets submission and review deadlines, defines the rubric criteria, and builds the reviewer pool.

2

Authors Submit

Authors submit their paper with co-authors, abstract, and manuscript before the deadline; a confirmation email confirms receipt.

3

TPC Assigns, Reviewers Score

The TPC bulk-assigns reviewers from the pool; each reviewer accepts or declines, then scores the paper against the rubric and submits structured feedback.

4

Chair Decides & Schedules

The chair compares every reviewer's score side by side, records accept, revise, or reject, and schedules accepted papers into a session.

Questions

Frequently asked

No sales fog. If your question isn't here, email us and we'll answer it the same way.

No. Access rights give each reviewer read/write access only to their own review, and authors have no access to the review model at all, so the review stays single-blind by construction.
